Who we are
This notice explains what personal information Firbanks IT collects through our website, what we do with it, and your rights over it. We've kept it as plain as we can.
Firbanks IT is a trading name of Firbanks PC Maintenance Ltd, registered in England and Wales, company number 04709394. Our registered office is Kingfisher House, Rownhams Lane, North Baddesley, Southampton SO52 9LP. We're registered with the Information Commissioner's Office (ICO) as a data controller, registration number ZA523548.
If you have any questions about this notice or your information, email sales@firbanks.com or call 01489 858109.
This notice covers our website and enquiries made through it. If you're an existing customer, information we handle while supporting your business is also covered by the terms of our agreement with you.
What we collect and why
We only collect what you give us through our contact form, and we only use it for the reasons below.
| What we collect | Why we use it | Lawful basis |
|---|---|---|
| Your name, business name, email address and phone number | To reply to your enquiry and talk to you about your IT | Legitimate interests: responding to people who contact us. Where you're asking about our services, also taking steps at your request before a contract. |
| Your business size, the services you're interested in, and your message | To understand what you need and send the right person back to you | Legitimate interests, as above |
| Whether you ticked "keep in touch", with the date, time and wording you agreed to | To send you our occasional newsletter, Patch Notes, with security tips, news and IT advice, and to keep a record that you agreed | Consent. You can withdraw it at any time by clicking unsubscribe in any email or by contacting us. |
We don't sell your information, and we don't use it for anything you wouldn't reasonably expect from the above. If you don't tick "keep in touch", we won't send you marketing emails. We'll only use your details to deal with your enquiry.
Who we share it with, where it's kept, and for how long
Who sees it. Your information is seen by Mark and David at Firbanks IT. We use a small number of trusted providers to run our website and email, and they handle your information only on our instructions:
- our website hosting provider, 20i, which runs this site and stores contact form submissions
- Microsoft 365, which provides our email and delivers your enquiry to our inbox
- if you've agreed to hear from us, the service we use to send our newsletter, which we'll name here before the first issue goes out
If you become a customer, your details also go into the systems we use to look after you: our customer management and ticketing system, our remote support tool and our accounting software. We'll also share information if the law requires it.
Where it's kept. Contact form submissions are stored on our website hosting in a London data centre, not with any third-party form service. If any of our providers store information outside the UK, we make sure appropriate safeguards are in place, as UK data protection law requires.
How long we keep it.
- Enquiries that don't lead to working together: deleted after two years.
- If you become a customer: kept for as long as we work together, then as long as we're legally required to (for example, six years for financial records).
- Keep-in-touch consent: until you unsubscribe. After that we keep only your email address on a do-not-contact list, so we never email you by mistake.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the information we hold about you
- correct anything that's wrong
- delete your information
- restrict how we use it, or object to us using it
- send your information to you or another organisation in a usable format
You can also withdraw your consent to marketing emails at any time, and object to marketing whenever you like. Just email sales@firbanks.com or call 01489 858109. We'll respond within one month, and it won't cost you anything.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Cookies
This website doesn't use cookies to track you or show you adverts, and it doesn't set any cookies when you browse it. Our fonts are stored on our own server too, so visiting the site doesn't send your details to Google or any other outside service.

We'll update this notice if the way we handle information changes. The date at the top shows when it was last updated.
